H-Trackit – Dormitory Requests Management System



Dear members of Koç University;

To handle your requests faster and efficiently, we began to use the Track-it system. Hence, yurt@ku.edu.tr address will no longer be available. Please do not forget to send all your requests about dorms through H – TRACKIT (https://trackit.ku.edu.tr/servicedesk/customer/portal/1011), in accordance with the titles listed below.

For your requests that cannot be classified under the H – TRACKIT titles, you should send your request to housing@ku.edu.tr. If the mail you send to the housing@ku.edu.tr can be classified under the H – TRACKIT titles, your message will be redirected back to you and you’ll be asked to open a track-it; your messages will not be automatically converted to a track-it.

H – TRACKIT titles are as follows:

Housing Life

  • Request for reserving West Campus Dance Hall.
  • Request for third party’s acceptance of incoming Cargo / Post in West Campus.
  • Noise notification.
  • Residence certificate request.
  • Notification of lost and found belongings.
  • Room control request.
  • Request for personal belongings’ collection by third parties.

Planning

  • Notification of address change.
  • Late dorm application.
  • Temporary stay request for exam and registration periods.
  • KUSIS Dorm application questions.
  • Temporary stay request for commencement ceremony.
  • Room decline process.
  • Notification of health report.
  • Graduate housing change request.
  • Academic and administrative staff accommodation requests.

Financial Issues

  • Inquiry and reimbursement request for deposit compensation.
  • Room charge reimbursement request.

Housing Student Conduct

  • Inquiry of disciplinary records.
  • Objection regarding disciplinary actions.
  • Questions regarding housing rules and regulations.
  • Defense letter notification.

IMPORTANT WARNING:

The H – TRACKIT titles, your message will be redirected back to you and you’ll be asked to open a track-it; your messages will not be automatically converted to a track-it.

Cleaning services, pesticide services, maintenance services, shuttle services, dining services, construction / mechanical failures, failures of communal electrical appliances, internet problems, phone services are not under Housing Directorate’s control and responsibility. For such issues, you can contact the related departments by using C-TRACKIT or  IT-TRACKIT.
